CAMLAS FARM VETS LLP ARE COMMITTED TO PROTECTING AND RESPECTING YOUR PRIVACY.

GDPR regulations

Camlas Farm Vets LLP (“we") are committed to protecting and respecting your privacy. This privacy notice sets out the ways in which we may process your personal data, your rights in relation to our processing and other matters. For the purpose of the General Data Protection Regulation (Regulation (EU) 2016/679, the “GDPR”), the data controller is Camlas Farm Vets LLP, registered in England & Wales, company no. OC387048. This means Camlas Farm Vets determines the purposes and way in which any personal data are, or will be, processed.

The personal data that Camlas Farm Vets may hold

This is information that you may give us by filling in forms on our websites, by corresponding with us by phone, e-mail or otherwise, and while you are in our office. It includes information you provide when you register as a client, submit an enquiry or complaint to us, order products, visit our website or use our social media platforms, book to attend an event with us, apply for a vacancy with us, and when you report a problem with our site, products or services. It includes information that you have given a third party permission to share with us.
The personal data you give us may include your name, address, e-mail address and phone number, financial and credit card information, relevant business information e.g. CPHH, photographs taken at Camlas Farm Vets events, and in relation to any job application e.g. MRCVS registration number, employment history, education records and other details relevant to your application.
If you provide any information about any other individuals such as friends or family, you warrant to us that you are entitled to provide that information to us and to authorise us to process it on the same basis as we will process the rest of the data that you provide about yourself.

Visitors to our websites and social media sites

We use a third-party service Wix.com to publish our website www.camlasfarmvets.co.uk. Your data may be stored through Wix.com’s data storage, databases and the general Wix.com applications. They store your data on secure servers behind a firewall. If we do want to collect personally identifiable information through our website, we will be up front about this. We will make it clear when we collect personal information and will explain what we intend to do with it. Personal data we receive through our website messaging system from clients or members of the public is stored in our secure email until the request is resolved.
When someone visits our Facebook page Camlas Farm Vets LLP, Facebook collects standard internet log information and details of visitor behaviour patterns. We do this to find out things such as the number of visitors to the page. This information is only processed in a way which does not identify anyone.

Use of cookies by Camlas Farm Vets

Third parties such as Google, Facebook and Wix.com may collect information about your computer, including where available your IP address, operating system and browser type, for system administration. This is statistical data about our users’ browsing actions and patterns and does not identify any individual. We may obtain information about your general internet usage by using a cookie file which is stored on the hard drive of your computer. Cookies contain information that is transferred to your computer’s hard drive. They help us to improve our Site and to deliver a better and more personalised service. You may refuse to accept cookies by activating the setting on your browser which allows you to refuse the setting of cookies. However, if you select this setting you may be unable to access certain parts of our Site.

How your personal data will be used

We may use this information in the following ways (with lawful basis for processing in brackets):

  • to carry out our obligations arising from any contracts entered into between you and us, including invoicing and reporting laboratory results or data analyses (contractual obligation)

  • to provide you with the information, products and services that you request from us (contractual obligation)

  • to provide you with the information, products and services that are similar to those you have already purchased or enquired about (legitimate interest)

  • to provide you with information about meetings, research projects or training opportunities of interest to you in your business capacity (legitimate interest)

  • to provide you, or permit selected third parties to provide you, with information about goods or services we offer (so long as, where required by law, you have given the relevant consent)

  • to notify you about changes to our products and services (legitimate interest)

  • for fraud and theft prevention (legal obligation)

  • for our own legal and risk management purposes (legitimate interest)

  • if you have submitted an enquiry, in order to follow up that enquiry about services offered by Camlas Farm Vets (legitimate interest)

  • if you have submitted a job application, in order to evaluate and manage that application, and to manage your employment if you are successful (legitimate interest)

Camlas Farm Vets does not conduct automatic data profiling or processing.

You are free at any time to change your mind and withdraw consent. The consequence of this might be that we can’t complete our contractual agreements or do certain things for you.

Who we share your information with and why:

We work with a number of suppliers and businesses in order to provide you with high quality services and products. Some of the categories of third parties with whom we share your data are listed below (with lawful basis for processing in brackets):

  • Laboratories that we send your samples to for testing (contractual obligation)

  • Businesses related to TB or public health work e.g. APHA, Menter A Busnes, or XLFarmcare (public interest)

  • Telephone answering systems for out of hours services (contractual obligation)

  • Other business partners, suppliers or sub-contractors e.g. locum vets (contractual obligation)

  • Other veterinary professionals, if you request referral or transfer of your details to another veterinary practice (if you have given the relevant consent)

  • Insurance companies with whom you have insured your animals (if you have given the relevant consent)

  • Other farm business consultancies (e.g. via AHDB or Farming Connect) and other third parties (if you have given the relevant consent).

  • IT companies who support our websites, analytical programmes and business systems (legitimate interest)

  • Legal and professional advisors including auditors (legitimate interest)

  • To law enforcement bodies, emergency services, regulatory, government agencies, court or third party where we believe disclosure is necessary to comply with any legal obligation, to enforce or apply the terms of any agreement to which we are a party, or to protect your vital interests or those of any other person (legal obligation or vital interest)

Special categories of data:

We may ask you to provide sensitive personal data (racial or ethnic origin, political opinions, religious or philosophical beliefs, trade union membership, physical or mental health, sex life or sexual orientation or genetic or biometric data) or personal data relating to criminal convictions and offences, as part of a recruitment or employment context.
If you provide us with any of the above types of data in relation to a job application or in the context of your work with us, the information will only be used so that we can monitor our compliance with the law and best practice in terms of equal opportunities and non-discrimination and, where applicable, to review and keep under review your ability to carry out the work for which you may be employed and any health and safety issues.
In exceptional circumstances we may collect sensitive data from clients only with their consent (e.g. noting a client is hard of hearing) or if there is a legitimate interest and clients will be notified that this data is being processed by Camlas Farm Vets.

How the data is kept secure

All data is typically stored within the UK. Personal data may be held in paper format, in a locked area of the Camlas Farm Vets office with no public access, or electronically, in password protected systems. Our employees with access to the data will be informed of our Privacy Policy and are required to sign a confidentiality agreement. Camlas Farm Vets will ensure that any third parties with whom data is necessarily shared are GDPR compliant. Any back-ups of data that leave Company premises are held on encrypted hard drives.


Data collected from our website may be processed by Wix.com outside the EEA in the United States of America. In these circumstances we will ensure that Wix.com has provided appropriate data protection safeguards of the sort approved by the European Union and which provide effective rights and remedies for you, further details of which are available from the Data Protection Officer (see ‘Your Rights’ section).

Data retention

Camlas Farm Vets have a Data Retention Policy to ensure that personal data is stored for no longer than reasonably necessary. The only exceptions to this are:

  • where we have a statutory or regulatory obligation to retain the Personal Data

  • to ensure that our business is properly run in an efficient and compliant manner

  • you exercise your right to have the information erased (where it applies) and we do not need to hold it in connection with any of the reasons permitted or required under the law;

  • where we bring or defend a legal claim or other proceedings during the period we retain your personal information, in which case we will retain your personal information until those proceedings have concluded and no further appeals are possible;

Your rights

You have the right to:

  • Be kept informed about the personal data held about you

  • Request an electronic copy of the personal information we hold about you

  • Correct data held that is incomplete or inaccurate

  • Request the data to be erased from our records (if there is no legal reason for it to be retained)

  • Restrict the processing of data in certain circumstances

  • Have the data we hold about you transferred to another organisation in certain circumstances

  • Make objections regarding your personal data e.g. direct marketing.
